Terms & Conditions
It is important that you read all information carefully and ensure that you understand and accept the conditions outlined before proceeding with your booking. As a condition of booking, all participants in this conference are required to purchase at least the associated land arrangements in Snowmass Aspen from Wall Street Travel.
Wall Street Travel can assist with your air transport and any other travel arrangements you may wish to make to extend your trip.
Payments – All rates shown are Australian Dollars, & US Dollars.
Conference fees – Conference fees payable at time of booking.
Ground content – Stonebridge Inn, Terracehouse, Lichenhearth, Top of the Village in Snowmass, Aspen
Early bird accommodation rates: A non-refundable deposit of 50% of total package is required on booking then payment in full required by 15th June 2019 in order to secure the early bird rates.
Standard rates: A non-refundable deposit of 50% of total package is required on booking, then payment in full required by 31st July 2019, whichever is earlier.
Thereafter: a $100 late payment fee and full payment on booking
Porterage Fee & Transportation – A per person porterage fee of USD10, roundtrip is mandatory for all groups arriving and departing at one time and will include baggage delivery to guest units upon arrival and collection of baggage from units on departure. An additional per person porterage fee of USD5 will be added if you arrive later than 10pm MST and/or depart earlier than 7am MST. It is possible for this additional charge to apply to both arrival and departure.
Late Bookings – A late booking fee of $100 will be charged on all bookings made after 31st July 2019. In addition, a credit card number must be provided to CPD Conferencing to guarantee against changes and cancellation fees. This needs to take place before any late booking can be made. Courier fees will be at the expense of the client. A credit card guarantee will be required if booking is made within 80 days.
Cancellation Fees – Payment of conference registration fee is non-refundable.
Deposits for accommodation and land arrangements are not refundable. Cancellations made outside of 80 days will incur a fee of $300.00 per person plus any charges levied by ground operators, hotels, airlines or lift companies. A cancellation made within 80 days before departure will incur a 100% cancellation fee of the total booking amount. Any refunds due cannot be processed until the relevant funds have been returned by suppliers to CPD Conferencing. Insurance covering
cancellation is strongly advised as some cancellation penalties are strict. Refunds will not be given for unused accommodation, car rental, transfers and ski passes.
Amendments – A minimum amendment fee of $100 per change to confirmed arrangements. Within 80 days of departure the cancellation conditions will apply in full.
Credit Card Charges – A 2% (Mastercard, Visa), 3% (Diners) or 2% (American Express) merchant fee will be added if a credit card is used for payment. If cancellations are made, the merchant fee will not be refunded.
Vouchers – After departure, CPD Conferencing will not refund any unused vouchers this includes any unused lift tickets, car hire, transfers or accommodation. Prior to departure cancellation conditions will apply in full.
Not Included in Costs of Holidays or Services – Cost of passports, and visas where required, items not specified as being included, airport taxes where applicable, laundry, road tolls, telephone calls, food not included on regular menus ski or equipment hire, lift passes (unless stated), ski locker rentals (if charged) and any other item of a personal nature.Transportation to and from Australia.
Prices – All prices quoted for airfares (where applicable), transportation and land arrangements in this brochure/website are based on current rates, (including foreign exchange rates where applicable) and accordingly are subject to change without notice. All reservations are subject to availability. Verbal quotes are regarded as an estimate and prices are only confirmed with a written quote. Prices are not guaranteed until tickets are issued. Prices quoted are in Australian & US Dollars. An Australian dollar conversion rate will be given in USD which will only be valid on the day of booking. We reserve the right to re-calculate this if unpaid on date of invoice.
Acceptance of Bookings – The conference will only take place subject to minimum number of delegates attending. Should there be insufficient delegates, the conference will not proceed & registration fees returned. Bookings are accepted subject to the services or accommodation applied for, being available. CPD Conferencing and/or its agents reserve the right, without notice, to modify, cancel or withdraw any or all of the arrangements. In this event the full amounts paid will be returned to the customer, and upon rendering the same, all liability of CPD Conferencing and/or its agents in respect thereof shall cease. CPD Conferencing
and/or its agents reserve the right to decline to accept or retain any person as a member of any party at any time. Bookings with Carriers are also subject to the Carriers’ terms and conditions as printed or referred to in their tickets and/or timetables and/or regulations.
Luggage – Luggage, including personal articles, is at all times and in all circumstances at owners’ risk except to the extent of any insurance purchased by the customer.
Insurance – It is compulsory for everyone undertaking these tours and services to insure themselves against medical expenses, personal accident, loss of deposit and cancellation fees, and also their baggage against damage, loss, theft, etc. Wall Street Travel will gladly advise you on travel insurance.
Snow Conditions – Average snow fall statistics and snow conditions indicated within this website/brochure are provided by each resort and correct at the time of publication. It should be understood that CPD Conferencing cannot under any circumstances be held responsible for snow conditions. No holiday can be cancelled, altered or amended on the basis of weather conditions.
Hotel Locations and Descriptions – Please note that maps in this website/brochure are not to scale and are provided only as a guide to locations.
Website/Brochure Accuracy – Whilst every effort is made on the accuracy of this website/brochure, CPD Conferencing cannot be held responsible for any errors or omissions occurring in the production or changes to hotel facilities or amenities as specified, during the validity of the programme. Care will be taken however, to
ensure that you are updated on any major changes that could affect the enjoyment of the conference.
Photographs are supplied by the hotels, decoration, fixtures and fittings may vary from those shown within this website/brochure.
Children – All prices referring to discounts for children (2-12 years or as specified) are based on one child sharing with 2 adults using existing bedding. Where children under 2 years are accommodated free of charge, usually a cot will not be provided. Some hotels may be able to supply a cot but this may be subject to an additional
charge, payable direct. Please notify CPD Conferencing whether you are travelling with children and their age at the time of travel. No responsibility can be taken where children have not been included in the booking with CPD Conferencing.
Lift Passes – No refunds can be given for any unused days on lift passes included in the holiday packages, should the days not be fully utilised.
Responsibility – Airlines featured within this website do not by virtue of their endorsement of this website represent themselves either as contracting with any purchaser of a holiday from CPD Conferencing or as having any other legal relationship with any purchaser aside from the liability as may be incurred as the carrier.
Wall Street Travel and/or its associated Companies or Agents give notice that they act as Booking Agents only for the persons or companies providing or offering the means of travel, conveyance, transport, accommodation or other services and all receipts, tickets, vouchers, coupons or exchange orders are issued subject to the terms and conditions under which transportation and other services are provided. CPD Conferencing shall not be liable for any injury, damage, loss, accident, delay or irregularity that may be caused to person or property however caused or arising, during any tour under its management, sponsorship, procurement or otherwise, not withstanding that the Company’s principal may be a foreign Company, corporation or person. So far as the Company shall not be acting as such Booking Agent it shall be deemed to be acting as Agent for the person making the booking. It is the responsibility of the passenger to ensure that they are in possession of the proper travel documents and that they are in compliance with the current government and Transportation companies’ regulations. The right is reserved to modify the itinerary in any
way considered necessary or desirable or to change any reservation, and/or means of conveyance, without notice and for any reason whatsoever and without allowance or refund but the extra cost, if any, resulting there from must be paid by the passenger. The right is also reserved to cancel or withdraw any tour, or any booking made for a passenger, or to decline to accept or retain any person as a member of a tour for any reason whatsoever. No refunds can be made in respect of accommodation and meals not utilised and under no circumstances can refunds be made for tours and sightseeing excursions not undertaken. Transportation companies or firms shall be exempt from all liability in respect of any detention, delay, loss, damage, sickness or injury however and by whom so ever caused and of whatever kind occurring of or to the passenger at any time when the passenger is not on board a carrier or conveyance used or operated by the transportation companies or firms.
Airlines – Airlines will only be responsible for air carriage performed by them. Such air carriage will be subject to the provisions referred to in the conditions of contract contained in the passenger ticket.
Currency Adjustment Policy – CPD Conferencing guarantees pricing of accommodation and associated ski arrangements in Snowmass Aspen with no currency surcharge once deposit has been received. Prices in this brochure/website are subject to change without notice and are used as a guide only. Please contact CPD Conferencing to obtain current pricing.
